Exhibitor Terms & Conditions 2023

The Art on the Prom is an outdoor event promoting art and artists which will take place on Sunday the 3rd of September along Felixstowe Prom. The exhibition will be open from 10am to 4.30pm. The event will take place over the town wide Love Felixstowe weekend and expects a large footfall.

  • Pitches consist of 360cm x 180cm Heras Fence panels which are set-up in pairs and are available as half panels (£50), single panels (£100) or double panels (£190) per application. Please note that half panels have been limited in number to avoid overcrowding. 
  • Gazebo pitches will be allocated in a specific grass area as close to the prom as possible (location TBC) and artists who book a gazebo pitch must provide a strong professional gazebo designed for events which is attached to the ground, a health and safety assessment and appropriate PLI insurance. Traders who do not comply with these requirements will not be able to take part in the event. 

  • Panels are set-up prior to the event and taken down after the event closes. By applying to trade artists agree to set-up displays between 6.15-9.25am and take down displays between 4.30 – 7.00pm.
  • Artists will be given access by group to a closed area of the road between 6-9.30am for arrival and set-up, and will be asked to remove vehicles prior to the road reopening at 9.30am. If you are not arriving by car, you are free to arrive and set up any time prior to 9.30am.

  • Participating artists are allowed to decorate the panels as they see fit. They can bring tables, print stands, card stands and any other furniture they require and are responsible for set-up and taking down of all additional items. Please make sure items are secured well.

  • Participating artists must clear the fencing of all fixings prior to departure.

  • Participating artists remove all rubbish, packaging and leave the area completely clean and clear prior to departure.
  • Pitches must be paid for at time of booking. Please be aware that we are operating a no refunds policy.

  • Artists who do not meet the selection criteria and curatorial style will be informed and will receive a refund but the small card payment ‘booking fee’ will unfortunately not be refundable. 

  • Participating artists MUST provide proof of Public Liability Insurance prior to the event and will not be able to trade if this is not in place. To obtain Public Liability Insurance Art on the Prom recommends that you make use of the free insurance that comes as part of Artists Network membership which is an annual fee of £38. Insurance documents must be sent to Iona at felixstoweartontheprom@gmail.com no later than August the 23rd 2023. Please also bring a printed version of your insurance to the event in case of council inspection.

  • Traders are personally liable for their individual stalls. Stallholders will not hold Art on the Prom liable for any damage, loss, theft or injury incurred while participating in the market. If you wish to insure your artwork against theft or damage please make sure you arrange this privately.

  • Art on the Prom does not provide cancellation insurance or refunds in the case of adverse weather or extenuating circumstances.
  • By paying for the stall all participating artists agree to attend the event, read and adhere to the event’s Terms and Conditions and H&S Policy

  • Artists will be allocated a time and location to unload their vehicles adjacent to the Prom and your allocated stall may be allocated to artists on either side if you do not arrive by your stated time.

  • All artists must take down stalls at the end of the day and vacate the Prom by 5.30pm, taking all rubbish with them.

PERMITTED ARTWORKS

Listings of Artwork require to meet the following criteria to be permitted (“Permitted Artworks”) by Art on the Prom for sale on the Prom

  • All goods for sale must have an element of handmade. This means they should either be made by you (the applicant), or produced in your country of origin on a small scale based on an original design or illustration by you.

  • Original prints: made by the artist.

  • Sculpture: unique pieces or sculptures in editions of 25 or less.

  • Photography: limited edition fine art photography is accepted, when signed and numbered, or accompanied by a certificate of authenticity, and when the print is produced to a high standard.

  • Handmade crafts including jewellery, pottery, etc are permitted as long as they are made by the artist themselves. 

Ineligible items include but are not limited to the following:

  • commercially manufactured or reproduced items; any item that employs the use of commercially available moulds or patterns. 

  • any crafts produced in other countries and imported for sale.

CURATORIAL STYLE AND ACCEPTANCE OF APPLICATIONS

  • We are expecting a large amount of applications to this years AOTP after a long absence and due to the fact it will receive extra promotion as part of the Love Felixstowe Weekend Festival.

  • All applications will reviewed by a Selection Committee to ensure the authenticity of work in support of the integrity of artists and applicants. In the unlikely event that your application is deemed unsuitable or not fitting within the curatorial style of the exhibition, we will inform you and return your application fee without charge. The Selection Committee’s decision is final and shall be exercised at our sole discretion. We will endeavour to confirm all artists applications as soon as possible after they have been received.

  • ANY ARTIST WHO FEELS UNABLE TO MEET THE ABOVE REQUIREMENTS WILL BE UNABLE TO TAKE PART.

  • The organisers reserve the right to halt sales and/or remove work from the show that is not in compliance with the exhibition’s requirements.

  • Once confirmed artists will be allocated with a pitch number which cannot be changed. We expect over 200 artists to be trading so for organisational efficiency, your pitch allocation will be final.

  • Artists will be allocated a time and location to unload their vehicles adjacent to the Prom your allocated stall may be allocated to artists on either side if you do not arrive by your stated time.

  • All artists must take down stalls at the end of the day and vacate the Prom by 5.30pm, taking all rubbish with them.

  • Applications with access issues or holders of Disabled Badges may have accompanied vehicular access to the Prom at 7am please call Iona Hodgson on 07719 281078 to discuss access needs.6
